TL;DR: You can now cross-post a SharePoint News post to a Viva Engage community or storyline in full fidelity. Once you do, SharePoint and Engage share one conversation. Microsoft’s worldwide rollout finishes in late October 2026, and no extra Viva license is needed. Use it for news that needs discussion, not for every post.
What is SharePoint News cross-posting to Viva Engage?
Cross-posting lets a SharePoint author send a published News post to a Viva Engage community or storyline without copying it. The post renders in full across Engage feeds, digests, Outlook, Teams, and the desktop, web and mobile apps (MC1466762).
The important twist: once you cross-post, the SharePoint comments section is replaced by Engage’s conversation module. New comments, replies, and reactions from both places become one shared thread. Comments already on the post don’t carry over, so cross-post soon after you publish.
When is it available?
Microsoft began worldwide general availability in late September 2026 and expects to complete it by late October 2026 (Microsoft 365 Roadmap 568074, last updated October 7, 2026). Government cloud tenants (GCC, GCC High and DoD) aren’t listed on the roadmap yet. No tenant setting is required; Microsoft’s only recommended action is to tell users and update training.
It arrives alongside another News update. Since this summer, people with an eligible Microsoft 365 Copilot license can listen to an AI-generated audio summary of supported News posts in the SharePoint app for Teams (MC1458477). Microsoft’s roadmap shows that feature as Launched as of October 2026 (Microsoft 365 Roadmap 562018).
How do you cross-post a SharePoint News post to Viva Engage?
- Publish your News post in SharePoint as usual.
- On the published post, select Promote. If your organization has Viva Amplify and you are assigned a license, you will see an Amplify button instead, but the steps are the same (Microsoft Learn).
- Choose the destination: your Engage storyline or one community. Each news post can go to only one destination.
- Send it. The post appears in Engage with its sections, images, buttons and links intact.
- Watch one conversation. Reply to comments from either SharePoint or Engage; both show the same thread.
What changes for comms teams?
| News post in SharePoint only | News post cross-posted to Engage | |
|---|---|---|
| Where people read it | Your intranet, News web part, SharePoint app | Also Engage feeds, digests, Teams and Outlook |
| Comments | SharePoint comments | One Engage conversation shown in both places (new comments only) |
| Analytics | SharePoint page analytics | SharePoint page analytics, including Engage performance, plus Engage’s own reports |
| Approvals and scheduled sequences | Page approval if configured | Not included; that’s Viva Amplify’s job |
Analytics show up in two places
SharePoint page analytics now include how the post performs in Engage. With some licenses, they also break views, reactions, and comments down by channel. Without that, you see combined totals. Engage shows reach, reactions and comments by channel and marks SharePoint news as its own post type. Use whichever view answers your question (Microsoft Support).
Audience targeting can leak into a wider discussion
If a post is targeted to a small group but cross-posted to a large community, the conversation reaches far more people than the page was intended for. People in the Engage destination can see it even without access to the SharePoint site. A storyline or public community opens it to your whole organization; a private community limits it to members. Check the audience and the site’s sensitivity label before you click Promote.
Conversations become organizational knowledge
Engage threads can feed the knowledge that AI tools draw on. Unmoderated or outdated threads can linger. Assign an owner to every community you post into.
When should you cross-post, and when shouldn’t you?
A simple rule keeps your channels healthy:
- Cross-post when the news invites questions or reactions: leadership updates, change announcements, culture stories, big launches.
- Don’t cross-post routine notices, policy pages, or anything targeted to a restricted audience.
- Pick the right community for each post: one with active owners and clear moderation.
Make the News post worth the click
Cross-posting widens the audience. It doesn’t make the post better. In Engage and digests, your post competes with everything else in the feed, so the hero image, headline, and first section matter more than ever.
The same is true on your intranet. The SharePoint News web part shows posts in a handful of standard layouts. For ideas on going further, see 10 ways to present news in a SharePoint site.
How ShortPoint makes SharePoint News easier to find and read
Cross-posting is a smart addition to Microsoft 365. It brings conversation to where people already are, at no extra license cost. For distribution, use it.
Where ShortPoint helps is everything before and around distribution: the news post itself and the intranet page people land on.
| Need | Native SharePoint | ShortPoint |
|---|---|---|
| A News post that looks designed, not default | Standard page sections and web parts | 80+ no-code design elements to build rich, branded posts |
| A newsroom on your homepage | News web part with standard layouts | News sections you design visually with ShortPoint elements, in your brand colors and fonts |
| Fast, consistent posts from any author | Microsoft page and news templates | 250+ templates in the template library, included with every plan |
| The right news for the right people | Audience targeting on News | Visibility feature: show or hide elements by SharePoint or security group and by device |
| New pages without a designer | Copilot in SharePoint (Copilot license) | AI Designer (on Pro and Enterprise plans) builds on-brand pages from a prompt, voice or image in your SharePoint, no Copilot license |
Because ShortPoint pages are SharePoint pages, they work with Microsoft’s own features. You keep Promote, Engage cross-posting and page analytics. In Engage, ShortPoint elements appear when readers open the full post, not on the feed card, so keep your headline, hero image, and opening text in standard SharePoint sections. ShortPoint is used by 12M+ users on 350K+ SharePoint sites, is a Microsoft Solutions Partner, SOC 2 Type 2 certified, and WCAG 2.1 aligned, with unlimited free viewers.
Our point of view: Cross-posting solves reach. It doesn’t solve attention. The news that wins in a busy feed is the news that’s well designed, clearly branded, and easy to scan. Build that once in ShortPoint, without developers, and every channel Microsoft adds becomes another path to your best content.
