Copilot Readiness for SharePoint Intranets: An 8-Step Checklist for 2026

On September 25, 2026, Microsoft introduced a new all-in-one Copilot app with three tabs: Home (Chat plus Cowork, which takes on whole tasks), Code (build apps in plain language) and Autopilot (an agent that keeps working while you're away). Microsoft says these draw on "organizational data, business processes, and applications" through Work IQ and Fabric IQ (Microsoft Source).

For intranet teams, the implication is simple. When an employee asks Copilot "What's our parental leave policy?", the answer comes from your SharePoint content. If that content is out of date, overshared or unclear, the answer will be too.

What Is Copilot Readiness?

Copilot readiness is the state in which an organisation's content, permissions and information structure are ready for Microsoft 365 Copilot to use. A Copilot-ready intranet has three qualities:

  • Accurate: one current, owned source for each important topic.
  • Safe: people can only reach content they should see.
  • Findable: clear titles, structure and metadata that help Copilot pick the right source.

Copilot always respects SharePoint permissions. It doesn't create new access, but it makes existing access far easier to use. That's why readiness starts with governance, not AI settings.

Why Does Copilot Readiness Matter Now?

Three September changes make this urgent:

  1. Copilot in SharePoint reaches general availability from September 30, 2026, and Copilot Search becomes the default search for licensed users (Microsoft Learn, Topedia). Read what intranet teams need to do for GA .
  2. Copilot now reads SharePoint column metadata when a prompt is scoped to a library or folder. The feature (roadmap 516044) launched on September 16, 2026 (Windows Forum).

There's also a people side. The IoIC's IC Index 2026 found only 32% of UK employees say their employer has "clearly communicated how they're supposed to use AI on the job" (Ragan). Readiness is as much a comms job as an IT one.

The 8-Step Copilot Readiness Checklist

Work through these in order. Steps 1–3 reduce risk; steps 4–8 improve answer quality.

1. Find and fix oversharing

Review sites shared with "Everyone except external users" and large groups. Prioritise HR, finance and legal. Use Restricted Content Discovery on sites that should never feed Copilot answers.

2. Retire outdated content

Archive or delete old policies, expired news and duplicate pages. Copilot in SharePoint can help by flagging outdated pages and broken links on sites you manage.

3. Name an owner for every key page

Each policy, process and FAQ page needs a named owner and a review date. If no one owns it, Copilot may still quote it.

4. Create one source of truth per topic

If three pages describe the travel policy, Copilot may blend them. Merge them into one authoritative page and link the others to it.

5. Add and clean up metadata

Columns like Department, Policy type, Status and Review date now help Copilot answer scoped questions. Inconsistent values reduce accuracy, so fix them first.

6. Write pages that AI (and people) can read

Use descriptive titles, question-style headings, short paragraphs and explicit dates. "Updated 12 September 2026" beats "recently updated".

7. Scope agents for high-value topics

A SharePoint agent grounded in one policy library (up to 20 sources per agent) is more reliable than open questions across the tenant.

8. Measure with AI citations analytics

Check the AI citations page in Site usage. Pages with many citations deserve extra care; important pages with none may be hard for Copilot to find.
